Purchasing Specialist I

ZeniMax Media is seeking a detail-oriented professional to work in the Accounting Department as a Purchasing Specialist I. The primary role would encompass working collaboratively with Accounting team members and other departments to provide the needed support to ensure that all the business purchasing needs are met and are in accordance with company policy, to ensure that purchase orders are executed timely and accurately, and other tasks as assigned.



  • Attach vendor confirmations to Purchase Orders (PO’s)
  • Assist in reviewing and processing PO’s in Oracle
  • Assist with submitting PO’s to company vendors, company legal, and PO stakeholders
  • Upload executed contracts to Oracle PO
  • Track the status of orders
  • Perform a review of key terms of executed contracts to ensure that newly issued PO’s are in line with the executed contract
  • Work with requisitioners to ensure change orders and other updates to PO’s are completed accurately and efficiently
  • Assist with sourcing of goods and the placing of company orders online
  • Assist with review and approvals of non-PO invoices
  • Review PO’s during month-end processing for potential closing or follow-up for required invoices
  • Liaise with company departments to provide research support, answer questions, process PO needed adjustments, and other internal support as needed
  • Review the Un-invoiced Receipts Report and follow up on missing invoices
  • Scan and file documents and perform other tasks as needed


  • College degree not required in lieu of relevant experience
  • Minimum of 3 years purchasing experience using accounting software, Oracle preferred (experience with Oracle version R12 desired)
  • Proficiency in Excel, Outlook and Word
  • A basic understanding of Procure to Pay (P2P) workflow
  • Solid planning and organizational skills, including strong attention to detail and the ability to manage multiple priorities while meeting time-sensitive deadlines
  • Strong business acumen and problem solver
  • Strong written and verbal communication skills, excellent interpersonal skills and an ability to work with diverse groups of people
  • Strong work ethic
  • Well organized, self-starter and good time management skills
  • Ability to work independently and with a team with emphasis on accuracy and timeliness
